How to Make Quotation
1) The “Quotes” means a quotation which is given to the buyer from a seller it contains on some terms and conditions such as price of a good, discount rate and time period etc are mentioned on this.
2) After opening the existing company in the Peachtree software. To go to the quotes and sales order window there are 2 possible ways one go to the“Task” menu and select the first option that is “Quotes/Sales Orders” the submenu appears now from the submenu we select the “Quotes”. And second is to go to the “Navigation Aid” press the sales button and select the “Sales Quotes” so the following windows will appears.
3) Now first we have to select the customer from the “Customer ID Field” that to which customer we send the quotation. Just enter the customer Id if remember otherwise double click on the customer Id field to make another/new customer. And to check the customer we have to click on the magnifying glass. When we enter customer id after that there are two heads 1st is “Bill To” in which about customer information’s is required which is automatically entered because we enter that information already while making the customer. 2nd option is “Ship To” in which address is record where we send the goods.
4) On the right side of the quotation page we have to mention two dates which are given below:-
i. “Date” this is the date on which we make the quotation.
ii. “Good Thru” in this we enter the date till which we want this quotation valid.
5) Below the dates we have “Quote No” which is very important to mention. Because Quote no is used to enter a unique no about an item.
6) After that some other important information are to be filled out like Quantity, Item, Description which is automatically appears when we select the item, GL Account in which we enter the sales account from our existing chart of accounts, give Unit Price of the item and the last thing is total Amount which is automatically calculated. Above the amount we have A/R Account field in which we have given the A/R account number from our chart of accounts.
7) After giving all the required information we have to press the button “Save”.
8) To check or to select the quotations we have to press the button “Open” in this window we can see all the quotations which we made for different customers. After opening the required quotation we will change the date of quotation as per the requirements of our sale invoice or sale order. After changing the date we will click on “Convert” and following window will appear on our desktop screen.
If we want to convert this quote into a Sales/Invoice then select the 1st option and press the “Ok” button but if we want to convert these quotes into a Sales/Invoice and want to print it then press the 2nd option and ok this option now if we want to convert this quote into Sales Order then select the 3rdoption which is the last option and once again press the ok button after all that we must enter the “Invoice No”.
