How to Set up a User In Peachtree


1)      For setting the security we maintain this “User” option. In which we (vendor) set the accessibility for the other vendors, customers on the all the Peachtree applications. This all is because of the security of the company confidential information because all the documents and reports can not be visible to every one because some information is confidential which can not be shared to everyone. That’s why vendor set this security to the customers and to the other vendors of the company.

2)      For setting the user option we go to the “Maintain Menu” and select the last option that is “User Security”. The following window will appears.

  
When we click on the user option the “Security Message” appears. Must read it and then press the button “Ok”.




3)      Actually Peachtree provide the different custom access to different individuals to open or to access the company. It means that we give the “User Id” and the “Password” to each different individual. If the party has given the user password then he can access the areas of the software to which they have right.


4)      Under the user security there are 7 options which are given below:-

                                i.            Summary
                              ii.            System
                            iii.            Sales
                            iv.            Purchase
                              v.            General Ledger
                            vi.            Payroll
                          vii.            Inventory

5)      First go to the “Summary” in this option we have the above shown program areas now we have to give right of access or to restrict that area for the particular person just select the following in the control column.


6)      Now opt the 2nd option that is “System” under this head our reports, task area, all maintain documents etc are given and now we have to select the program area and mention that this person only read these all documents or anyone of them, or add/edit something in these, or able to erase something from it.

 

7)      If we do not want to give access on the sales and change the accessibility on the purchases then this is the procedure.


8)      After setting all the tabs likewise we want to save the document for this purpose we press the button “Save”.

9)      Now if that particular user to whom we assign the user id and password if we want to access the restricted area the software displays the warning message. And the software displays the following message in which we have said that we must have to create another user id and enable to use the restricted area by making additional user.



10)    Now this is the other user with ID 103 and we give all access to him so he is able to view every information regarding the company. After that just close the 2nd user.


11)   Now after closing the main page of the Peachtree software appears.


12)   So check the settings open the company for that purpose go to the “File” which is given on the top of the above window. Then select the 1st option that is “Open Company”. The software displays the message in which we have to say that we first close the current company for that matter we press the ok. The window name “Open Company” appears from which we select our Z drive and from this drive we select our company. So before the company opens the software displays the “Security Check” in which the user have to mention his User Id and the Password. This is all due to the security purpose.



13)    When the company open we go to the purchase order add some information.


14)  So the software show the message that this user has no access to add something in purchase order. This is just because of the security which we set recently.  




15)    Or we can see that in the below bar many options are invisible of the sales means we can not access to these options like the purchase options. Because we set the security setting of this user.


16)  Once the user setting is set we can not change from his own Id we can change from the Id of another user. 

17)  For save purpose we press the button “Save” which is on the top of the window.       






How to Maintain Reports in
Peachtree Software


1)      “Report” means a formal account of the proceedings or transaction of the group or we can say that an account usually presented in a detail. So from this definition we will able to know that these reports are very important for customers as well as for the vendors or also for the investors. From these reports we will in a able to know the company position.

2)      To maintain reports in the Peachtree or to view these reports in this software we go to the “Reports” and we will see that there is many commonly use accounts available like A/R, A/P, Payroll, GL, Financial Statements etc.  


3)      Firstly we go to the “Account Receivables” repots in which we can see all the reports relating to receivables are given like aging of receivables, customer ledger etc.
 


4)      Likewise to open the “Account Payables” related reports we go to the repots and then select the A/P the following window will appears. As we can see that the left side is the main repots area and the right side is the repots list relating to A/P and to take information according to requirement we can open related report from the following.



5)      Now we go to the “General Ledger” repots in which we can see all the reports relating to GL accounts are given like cash account register, chart of accounts, GJ, GL etc.










6)      Likewise we can see all the reports if required but this depends upon the vendor that he is willing to give right to view the reports to the customers and other partners.

7)      Another important thing is if we want to take print of the required report just press the button “Print” and we will able to get the hard copy of that report.


8)      If we want to change the information or you want this report in an excel format then just press the button “Excel” and the report automatically converted into excel sheet. This is applicable on all the reports. The excel button shows when we open the required report.

How to Set Global Option 

1)      To set the global option we first open the existing company and go to the “Options” and select the “Global”When you set global options they affect settings in every company you have entered in Peachtree. Global options can make your data entry more efficient and in some cases such as window color settings more fun. The following window will display.






2)      When this window opens we can see there are 4 tabs in this window which are given below.

                                            i.            Accounting
                                          ii.            General
                                        iii.            Peachtree Partners
                                        iv.            Spelling

3)      The first two options accounting and general are called as “Smart Data Entry Option”. Now we first select the “Accounting Option” in which first we set the decimals entry means in it 2 options available the first is Automatic and the 2nd is Manual and we have to specifying one of them at a time. In this we also set the decimal places.


For example, if we enter 4 Peachtree displays 0.04. If we select manual Peachtree inserts the decimal point after the number.
For example, if you type 1 and press enter Peachtree displays 1.00. The default for the number of decimal places is set to 2. From the list box you can specify from 0 to 5 decimal places.




4)      For hiding the general ledger accounts we mark tick if we want to hide the accounts of anyone of them which are given below:-

                                             i.            A/R (sales, quotes etc) means apply on all the sales related windows.
                                           ii.            A/P (Po, memo etc) same in this case.
                                          iii.            Payroll



5)      When we mark tick then to apply the changes press the button “OK” and now open quotes and we will observe that the along with the sales receipt we have A/R account but now it will not display. And in the 2nd A/P option we can see that if we do not mark tick on the A/P option then in the purchase order this account is visible.

                        



6)      Now we have “Other Option” except the A/P, A/R and payroll. Under this head there are 4 options. If we select the 1st option that is “Warn if record was changed but not saved” this option means if we want to exit a record before saving the Peachtree software displays us a warning message that we cannot exit without saving the data. The 2nd option is “Select Hide Inactive Records” this option means that the items to whom we inactivated while making the inventory should hide if we select this option otherwise not. The 3rd option is “Select Recalculate Cash Balance Automatically in Receipts, Payments and Payroll Entries “and the meaning of this   option to update our balance as our post/save receipts, payments, and payroll entries.






7)      After changing the required things we must have to press the button “Ok” otherwise the changes not apply.



8)      Now we select the 2nd tab that is “General” the following window will appear.



9)      When we select this 2nd option there are many options under this head in the “Improve performance” if we select the 1st option it means that we do not want to show the pages length of our reports like 1-15, 1-25 etc in the footer of the report then select it but if we want this then select 2ndoption.



10)   In displaying 1 or 2 item select the 1 Line option to view a single entry line in the list distribution box. If you choose this option you will not see the descriptions of items, General Ledger account names, and jobs. Select the 2 Line option to view two lines in the list distribution box. This allows you to view the descriptions of an item, G/L account name, and job.



11)   Now next we go to the smart data entry and the color scheme in which we can change the colors of this Peachtree software.






12)  After all that we must press the “Ok” button to save the changes.

13)  Now in the 3rd “Peachtree Partners” option we set the authority limit of the partners  of the company that they have full access(Low), middle means that they have access some applications of the Peachtree software as recommended by the other partners, or high means that particular partner have zero % authority means no authority to open any Peachtree application. We can say that it is like the “Security Level” set by the company owner or the main partner. 




14)  To save this again presses the button “Ok”.

15)   Last option under the global option is the “Spelling” as the name suggest that we allow the system to tell us automatically if we enter the wrong word or spelling, and also insert other important information as the settings. Except spellings there are many other things which are mention in the following window.




16)  To finish this global setting just click on the Ok button to save and close this window.
